Emailing
Attachments
Size
Matters
Most companies' email servers (including ours) only allow a maximum size of 10MB per email.
If you attempt to send an email out larger than 10MB, it will not get out of our server, nor would it be likely to get through the recipient's server even if it could make it out of ours.
By the same token, if you send a 1MB email to 20 people, the email has to copy itself in our server before going out and, therefore, takes up 20MB of memory. While these emails will eventually go out – the sheer size will bring our email and internet networks to a screeching halt.
How to Find Out the
Size
PDFs are usually the only attachments which may pose a size problem, but below are directions to find out the size of any document. To see how big your attachment is:
If NOT in DocsOpen: right click on the item and choose Properties. About halfway down the screen, the size will be listed (i.e.: 79.6 KB).
If
IN DocsOpen: right click on the
item and choose File Information.
The file size is listed all the way to at the end in KBs.
Attaching Documents -
Reminder
From DocsOpen: Don't open your document, just search for it and have it in your Quick Retrieve Screen. Right click on it and choose "mail." A new email message will open with your attachment. To attach multiple documents from DocsOpen, click "Change Criteria," enter all document numbers into the Doc. # field, separated by commas, and press "OK."
From Outside DocsOpen:
Open a new email, click on the paperclip icon on the top toolbar and
choose the document you want to attach.
Repeat as necessary.
